Executive Assistant (Remote)

Duties and Responsibilities include but are not limited to:




  • Create and send statements or invoices, track payments, and record company expenses.

  • Gather data on trends, industry best practices, and other publicly available information and prepare reports on the findings (e.g., for comparative analysis).

  • Store and organize documents and files.

  • Data Entry: prepare lead lists or meeting minutes, transcribe audio recordings, prepare payroll information, and organize research notes.

  • Research products, purchase goods & secure samples.

  • Store, update & collect information for marketing and sales campaigns through a CRM system.

  • Monitor projects, conduct internal communication & organize company data.

  • Coordinate team calendars, prevent scheduling conflicts & ensure clients are on time and prepared for meetings.

  • Prepare itineraries, book hotels, rental cars, etc.

  • Convey information to incoming calls & make calls for appointments or conduct informational inquiries.

  • Reply to emails, follow up on correspondence, organize inbox as per client preferences, and notify clients about important emails.

  • Synthesize data & other content into cohesive reports and presentation slides.

  • Upload videos, manage negative reviews, and keep the account profile up to date.

  • Ad hoc tasks


Schedule: US work hours (40+ hours per week)

Location: This is a remote job 🌎


Qualifications:

Bachelor's degree or of any certificate course

Excellent phone, email, and instant messaging communication skills

Solid organizational & time management skills

Able to work on a graveyard shift

Tech savvy & familiar with current technologies, like desktop sharing, cloud services, and VoIP

Experience with word-processing software and spreadsheets (e.g., MS Office)

Knowledge of online calendars and scheduling (e.g., Google Calendar)

Proactive attitude & willingness to be trained


Technical Requirements:

USB Headset with Noise Cancellation feature

Working Webcam

Main and backup computer: at least 1.8 GHz processor with at least 4GB RAM

Main Internet Service Speed: at least 25 Mbps wired connection

Backup Internet Service Speed: at least 10 Mbps

As our Virtual Assistant, you will play a crucial role in supporting our founder in managing his diverse business ventures and personal endeavors. Some of your responsibilities will include:

  • Managing his email and calendar

  • Attending Zoom meetings, taking detailed notes, and converting these notes into actionable tasks

  • Assisting in managing social media accounts, including posting content and engaging with followers

  • Responding to direct messages and other communication promptly

  • Organizing and scheduling tasks and meetings based on designated time blocks

  • Assisting with tasks on Upwork

  • Managing Google Business and Yelp review comments

  • Developing and documenting processes and procedures

  • Ensuring our Founder stays focused, organized, and on track



What you'll be doing:

  • Bank, Credit Card, and Loan reconciliations

  • Journal Entry postings

  • Review of P&L Statements and Balance Sheets

  • Production of Monthly Financial Statements

  • Performance of Sales Tax and other Tax-Related Issues

  • Processing Accounts Receivable / Accounts Payable

  • Syncing data across multiple software applications to ensure accuracy

  • Historical clean-up projects (as needed)

  • Management of requests in a timely manner

  • Communicating with clients and/or teammates in a timely manner



We are seeking At-Home Contact Center Specialists available to work Full-time hours Monday-Friday 9am-5:30pm EST. You would be responsible for qualifying callers for programs, products or services that our clients offer through outbound and inbound calls. We work with some of the best and most recognized companies in their industries, so professionalism and excellent communication skills are a must!


Wage:

  • $10.50 per hour with career path incentive.

Position Summary:

Working from home, the Teacher Assistant will be part of a team of educators providing instructional support to Connections Academy schools and District Programs. Teaching certification is not required to be a Teacher Assistant.



Primary Responsibilities:

Data Entry including course reductions

Clerical work setting up

Message Boards and Landing Pages

Sending out reminder messaging to students and families

Taking attendance

Updating educational recordings to match requirements

Other duties as assigned
